Privacy Policy

Plain-language summary & notice. This document describes how WCA Transportations LLC. operates and your rights. It is written to be read, not to be legalese — but it is a legal document. It is provided for information and is not legal advice; for advice about your specific situation, consult a licensed attorney. We review these terms with counsel and update them as the platform evolves.

1. Who we are

WCA Transportations LLC ("WCA", "we", "us"), doing business as WCA QuickShip, is a Minnesota limited liability company that provides freight software for the United States. WCA does not arrange transportation or select carriers for customers. This policy covers our marketing website at wcaquickship.com and the WCA platform you access after creating an account.

2. Information we collect

Information you give us

  • Account & business details — company legal name, DBA, contact name and email, phone, and role (shipper, broker, or carrier).
  • Carrier identifiers — USDOT number and MC/FF docket number, which can be submitted to software tools that retrieve related public FMCSA records.
  • Load & booking data — lanes, pickup/delivery windows, equipment, and the loads and bookings you create or accept.
  • Documents — certificates of insurance, W-9, operating authority, bills of lading, and proof-of-delivery (POD) images you upload.

Information we obtain from third parties

  • FMCSA public data — operating authority status, insurance on file, safety rating, legal name, officers, and addresses, retrieved from the FMCSA's public API for display and documented eligibility rules.
  • Payment data — processed by Stripe via Stripe Connect. WCA does not store full bank or card numbers; Stripe holds payout account details.

Information collected automatically

  • Technical & session data — IP address, approximate (coarse) location, device and browser characteristics, and usage logs needed to operate and secure the platform.
  • Fraud-prevention signals — device and session characteristics that software rules may flag for customer review (see §4).
  • POD metadata — where an uploaded delivery image contains location/time metadata, the software may retain it with the customer-entered shipment record.

3. How we use your information

  • To provide customer-operated freight tools, including load records, documents, and shipment status.
  • To let customer users retrieve and review public FMCSA facts and to apply documented eligibility rules to carrier booking access. Customer users make their own carrier-selection decisions.
  • To secure accounts, investigate abuse, and maintain audit records.
  • To bill software subscriptions and provide customer support.
  • To communicate with you about your account, and to comply with legal and recordkeeping obligations.

Public FMCSA information may be incomplete, delayed or changed by its source. Customers are responsible for interpreting it and making their own freight decisions.

4. Carrier verification & fraud prevention

The software may retain public FMCSA facts and customer-entered records for display and audit history. Documented eligibility rules can restrict booking access; customer users determine which eligible carrier is suitable and make the selection.

5. How we share information

We do not sell your personal information. We share it only:

  • With the users and organizations a customer chooses to share records with through the software.
  • With service providers that run parts of the platform under contract — for example Stripe (payments) and our hosting/infrastructure providers.
  • With a carrier's designated factoring company, where the carrier has assigned receivables under a Notice of Assignment (UCC § 9-406).
  • When required by law, or to protect the rights, safety, and property of WCA, our users, or the public.

6. Data sourcing ethics

Software data retrieval uses public sources — the FMCSA API and U.S. Energy Information Administration fuel-price data. It does not scrape gated or paywalled load boards or use illicitly obtained data.

7. How long we keep it

We retain subscription records, customer-entered load records, invoices, and security/audit evidence for a minimum of three (3) years, consistent with federal recordkeeping practice for transportation intermediaries (49 C.F.R. Part 371). Some records are kept in append-only, tamper-evident logs and cannot be edited after the fact — this protects you and us in any later dispute. We keep other data only as long as needed for the purpose it was collected or as the law requires.

8. Your choices & rights

  • You can access or update your account information at any time, or ask us to by contacting us.
  • You can request deletion of your data; we will honor it except where a legal or audit-retention obligation requires us to keep specific records (see §7).
  • Depending on where you live, you may have additional rights (for example, to access, correct, or port your data). Contact us to exercise them and we will respond as the law requires.

California residents (CCPA/CPRA)

If you are a California resident, you have the right to:

  • Know and access the personal information we have collected about you, and the categories of sources and purposes.
  • Delete personal information we hold, subject to the legal and audit-retention exceptions in §7.
  • Correct inaccurate personal information.
  • Data portability — receive a copy of your information in a portable format.
  • Opt out of the sale or "sharing" of personal information. We do not sell your personal information and do not "share" it for cross-context behavioral advertising, as those terms are defined under the CPRA — so there is nothing to opt out of, but you may confirm this with us.
  • Non-discrimination — we will not deny service, change prices, or reduce service quality because you exercised any of these rights.

To make a request, email privacy@wcaquickship.com. We verify requests against your account and respond within the timeframe the law requires (generally 45 days, extendable once where permitted). An authorized agent may submit a request with proof of authorization. Other U.S. state privacy laws (for example in Virginia, Colorado, Connecticut and Texas) provide similar rights, which we honor on the same basis.

9. Security

We protect data in transit with TLS encryption, isolate payment handling to Stripe, restrict money-moving operations behind a hardened payment boundary, and keep immutable audit trails. No system is perfectly secure, but we design the platform so that the highest-risk actions require the most verification.

10. Children's privacy

The platform is a business tool and is not directed to children under 18. We do not knowingly collect data from children.

11. Changes to this policy

We will post any changes here with a new "last updated" date, and for material changes we will provide additional notice where appropriate.

12. Contact
